Description
Reporting directly to the Executive and Artistic Director (ED/AD), this position will support implementing the mission and programs of Flushing Town Hall by assisting with tasks and cultural arts projects on behalf of the ED/AD. This position is ideal for someone savvy, insightful, disciplined, organized with a strong interest and experience in cultural arts programming and arts administration who seeks to take an essential support role in the heart of an extremely robust, multi-disciplinary presenting Arts Council. Experience in the field with related expertise in performance, event production and/or logistics, a MUST. This position is flexible full-time with benefits and will require occasional on-site evening and weekend availability. A hybrid working model will be considered, with a minimum of 3 days per week in the office and/or in the field. The annual salary is $68,000, plus benefits.

RESPONSIBILITIES INCLUDE: 

  • Assist with outreach, logistics, programming and promotion; communicating with artists and managers, writing and follow-up with contracts, issuing payment requests, receipt reimbursements, scheduling and admin/support paperwork. 
  • Liaise, collaborate, and assist with performance and event planning. Communicating needs/plans to various internal departments and external partners to facilitate successful project implementation. 
  • Suggest and implement processes and productivity tools to support the ED/AD to assist and streamline her workload. 
  • Set appointments, occasionally attend and take notes during meetings relevant to the work of the ED/AD, schedule follow up meetings and/or implement action items. 
  • Assist in cultivating ongoing relationships with key stakeholders, such as: artists and their representatives, vendors, community partners and members, special interest groups, local, regional & international organizations, and companies.
  • Compile marketing materials for internal and external use including bios, media assets, funder logos, and other relevant information. Assist with promotional efforts, assigned and self-generated to develop new and maintain existing relationships. 
  • Assist with planning and implementing audience development and community engagement initiatives; coordinating logistics. 
  • Assist in building and maintaining an efficient communication structure between departments to complete tasks, gather information, and meet communal deadlines. 
  • Research new opportunities, programming, business relationships, policies, and procedures and provide executive summaries of said research. 
  • Conduct oneself in a welcoming, inclusive manner that is cognizant of Diversity, Equity, and Inclusion efforts and policies, both internal and external.

EXPERIENCE & SKILLS: 

  • Minimum 3-5 years of related professional experience in arts management, arts administration, cultural programming, or event production. Experience in te field with related expertise in performance, event production and/or logistics, a MUST. 
  • Insightful, proactive, and a passionate thought-partner. 
  • Troubleshoot and confidently resolve conflicts and problems. 
  • Interpret and communicate the needs of various artists, performing groups, exhibitions, Space Grants and audiences as they relate to the work of the ED/AD and the mission and values of FTH. 
  • Comfortable speaking on the phone and pursue objectives through various online communication methods. 
  • Proficient in MS Office 365 and its accompanying application suite, Google Suite, with excellent digital organizational skills. 
  • Excellent and empathetic writing and communication abilities. 
  • Prioritize competing tasks, in complex situations and meet deadlines while maintaining excellent attention to detail. 
  • Independent and dependable team player. 
  • Bilingual in FTH’s core languages: English + Mandarin, Korean, Hindi or Spanish – is a PLUS.

The Director of Marketing & Community Engagement, reporting to the Executive & Artistic Director, leads event marketing, institutional branding, audience development, and communication/engagement strategies to represent and enhance FTH's mission and values. This senior-level role works closely with all department directors, aims to enhance brand awareness, drive revenue through ticket sales, increase online viewership, support local artist initiatives, and foster public engagement in over 100 global arts programs annually.  Additionally, they serve as a central hub for marketing materials, box office data, and support community partnerships and engagement efforts across departments.

 

RESPONSIBILITIES:

Lead Institution and Events’ Marketing Strategy and Execution

  • Develop and deliver integrated, multi-channel (traditional and digital) marketing strategy for artistic programming, season planning, and institutional branding initiatives driving awareness, audience development, community engagement and ticket sales.
  • Collaborate across all levels and functions of FTH to ensure messaging and branding is relevant and resonates with key audiences, operational stakeholders, and donors. Seek to proactively understand, leverage, and promote the activities of other teams where appropriate, including acquiring details on artists and events.
  • Manage the end-to-end delivery of all campaigns, including strategy, messaging, content creation, timing, targeting and multi-language translations. Where required, negotiate, purchase and design online and print ad placements, as well as execution of media sponsorships and promotional partnerships.
  • Identify and develop opportunities to proactively increase institutional awareness and branding, partnerships with other key organizations and other marketing goals.
  • Oversee and ensure the executions of media relations and promotional partnerships in collaboration with our communications agency partner. Write and approve press releases, e-blasts, organize press conferences, respond to media inquiries to generate ongoing positive media coverage with mainstream and multi-ethnic media outlets.
  • Work in partnership with Director of Production to oversee and optimize FTH’s digital presence and activities, including, but not limited to: creative, website, content creation (video, photo, and post copy) for social and digital channels, email and digital ad campaigns with the goal of increasing online engagement, driving new and return audiences for free and ticketed live streaming and pre-recorded events. Collaborate with designers and content creators to ensure brand consistency. 
  • Identify and develop opportunities and partnerships for audience development and community engagement, including promotional collaborations.
  • Represent FTH as a spokesperson as required.
  • Evaluate marketing and media relations processes ongoingly; recommending and implementing improvements, including new software purchases required to manage ticket sales, website, and execute other marketing activities.

Team Leading and Internal Communication

  • Lead marketing meetings, guide the department and team, set clear goals, analyze and optimize performance, and inspire a fun and results-driven environment.
  • Direct, develop, and coach the marketing team, plus external suppliers/partners and freelancers/consultants where needed.
  • Manage and train front desk, box office, and customer service teams, ensuring excellent customer and audience experience.
  • Cultivate a team culture that embraces calculated, risk-aware experimentation and test-and-learn to find out-of-the-box approaches to challenges and market evolutions.
  • Embrace other marketing, team leading, and internal communication responsibilities, as needed.

Data Analytics and Financial Accountability

  • Conduct and analyze audience research (including surveys) regularly to assess audience satisfaction, understand demographic profiles, review PR and marketing performance, and refine strategies for increasing attendance, visibility, and earned income. Respond to changes in the field and landscape.
  • Develop a mutually beneficial and legally compliant audience data collection strategy to increase audience understanding and improve programming and messaging/content/advertising creation and targeting.
  • Utilize timely marketing, sales, and other analytical data in order to proactively adjust/respond to opportunities and challenges. Prepare and share marketing updates and research data with the marketing team, senior staff, and board members as needed.
  • Manage department, campaign/project related income and expenses, and team timesheets and expenses.
  • Recommend appropriate event ticket pricing and discount adjustments resulting from sales analysis, including increasing sales momentum for events lagging sales.
  • Embrace other data analytics and financial accountability responsibilities as needed. 

 EXPERIENCE & SKILLS:

  • Minimum 5-7 years of senior leadership in the field of arts marketing (preferred), public relations, and communications. 
  • Strong multi-ethnic media contacts, market research and data analysis, organization, negotiation, and written/verbal/presentation communication skills.
  • Adaptive, emotionally intelligent with strong interpersonal skills, good judgment, sense of humor, empathy, and sympathy.
  • Trend follower, innovator, and out-of-the-box thinker.
  • Experience with design and video applications, marketing technology, website CMS and CRM office is strongly preferred, plus competency with MS Office.
  • Excellent sense of design and impeccable attention to detail. 
  • Passion for the arts and artists; knowledge of Queens and NYC cultural sectors.
  • Experience in working with immigrant communities is a PLUS.
  • Mastery of FTH’s core languages is a PLUS – English, + Mandarin, Korean, Spanish, Hindi.

This position is a full-time position with benefits and will require some evening and weekend availability, with a hybrid working model at this time. Some in-person meetings and event coverage will be mandatory. Annual Salary is $100,000 plus benefits.

FTH seeks an experienced professional for the role of Box Office & Customer Service Manager. Reports to the Director of Marketing and Community Engagement. This position is a Full-Time position, $60K salary, flexible full-time of 40 hours a week, w/ benefits, and includes event plus weekday coverage. PRIMARY RESPONSIBILITIES:
  • Provide the highest standard of customer experience.
  • Interview, hire, train, schedule and manage box office staffing (namely Box Office and Customer Service Associate and Box Office Day of Event Staff), to ensure coverage at all ticketed and free events and ensure that all policies and procedures are followed.
  • Using AudienceView Professional to create & maintain ticketing pages for FTH ticketed/free events for website use (i.e., write event descriptions, create seating sections, add event photos, set capacity, set prices, etc.) as instructed by Marketing Director/Programming Staff.
  • Create and provide ticketing page links (internally known as “deep links”) on Audience View Professional and provide to Marketing Associate for website.
  • Create Public ticket types on Audience View Professional for FTH ticketed/free events as instructed by Marketing Director/Programming Staff.
  • Create Private/Coded ticket types, membership packages and other discounted ticket types on Audience View Professional for FTH ticketed/free events as instructed by Marketing Director/Programming Staff
  • Respond to incoming phone calls, voicemails, and email inquiries throughout the week and on day of event.
  • Process day-of-show will-call, walk-in and comp ticket orders at events using Audience View Professional.
  • Process advance ticketing online, in person and via phone using Audience View Professional.
  • Generate and send Daily, weekly, and post-event reports to the Executive, Marketing & Finance Directors.
  • Gift Shop support ie: processing credit card/cash transactions, maintaining inventory, generating daily, weekly, and post event sales reports; handling artist merchandise, occasionally serving as shop salesperson, as needed.
  • Make strategic recommendations at Weekly Marketing Meetings to Executive, Marketing/Development/Program Directors based on audience and staff feedback.
  • Familiarize oneself, and Box Office staff ongoingly with details about upcoming events (ie: artist bios, highlights, prices, dates etc.).
  • Keep Box Office Manual Updated.
  • Acting as occasional front desk coverage during weekday office hours.
  • Any other administrative duties related to the functions described above.
  • Work closely and collaboratively with internal departments, as follows:
 


WORKING WITH DIRECTOR OF MARKETING & COMMUNITY ENGAGEMENT:
  • Develop and implement patron/group sales research and outreach.
  • Track ticket sales and report to Marketing.
  • Maintain member and customer database on Audience View (i.e. merging duplicates, updating contact information)
  • Manage marketing/event tracker and ensure creation of shared asset folders for upcoming events.
  • Coordinate with box office staff to distribute flyers, facilitate cold calls/cold emails, create calendar listings to help promote FTH events.
  • Any other marketing tasks related to community engagement and customer service.

WORKING WITH EXECUTIVE TEAM:
  • Pull and organize patron reports and mailing lists for emails and physical mailings.
  • Provide Weekly and final ticket sales reports.
  • Provide event attendance reports for funding applications.
  • Pull member reports for Development Department
  • Assist with ad hoc admin work.
  • Weekly status reports and post-show reports to key department heads (EDU/Exec. +Artistic/Devo/Mktg) and external PR firm

WORKING WITH FINANCE FIRM
  • Ensure cash balance accurately reflects sales.
  • Create and reconcile all box office and gift shop reports & maintain cash levels.
  • Ensure security of box office and cash box holdings.
  • Submit and approve Box Office Staff timesheets to Finance in a timely manner.

WORKING WITH FACILITIES & OPERATIONS
  • Assist with managing of Gift Shop (duties described in Primary Responsibilities)
  • Troubleshoot issues in Director’s absence.
  • Provide vendor reports.
  • Notify when weekly cash box office/gift shop reports are ready for bank deposit.

EXPERIENCE & SKILLS:
  • Must have experience in Box Office ticketing systems and management.
  • Must have experience with retail, specifically Point-Of-Sale systems.
  • Must have previous office manager experience, and at a non-profit organization or arts institution.
  • Self-starter.
  • Strong organizational and customer service skills.
  • Possess excellent communication skills.
  • Capable of independently prioritizing various duties throughout the day.
  • Comfortable handling cash & payments
  • Works well in a team environment with minimum supervision
  • Passion for the arts—particularly music, dance, theatre, puppetry, and the visual arts
  • Familiarity with project management applications such Airtable a plus.

Digital Promotion & Administrative Support
Part Time Hourly:
$27/hr. (15-20 hours per week based on fluctuating workloads).

The administrative & digital promotion support role at Flushing Town Hall is a part time hourly position focusing primarily on interdepartmental day-to-day operations related to digital marketing and content management. The right candidate will have many of the skills below and is ready to take on the responsibilities below with on-the-job training, and a supportive group of colleagues.
 
Responsibilities:
  • Be a second set of eyes on provided copy/media assets and post to social media platforms (Facebook, Instagram, Twitter, YouTube) and web pages.
  • Monitor and engage with social media audiences and online communities (sharing stories, re-posting, tagging, sending co-host requests to partnering artists and organizations.
  • Follow up and support the cultivation of relationships with key contacts by phone, email, and DM for various purposes related to the promotion and organization of upcoming events.
  • Build email broadcasts from pre-existing templates using Constant Contact.
  • Collect and organize marketing materials for events (biographies, photographs, videos, reviews).
  • Update and/or make corrections of event details on FTH website and ticketing platform.
  • Assist with compiling online audience surveys and data aggregation.
  • Attend weekly and programmatic Marketing meetings.
  • Occasionally capture photos and video clips at select events for social media content.
  • Additional assignments and workload may result in additional hours for candidates with a strong background in multimedia social media content creation.

Skills & Qualifications:
  • 1 or more years of experience in marketing, communications, or sales in the non-profit arts sector.
  • Experience with social media and productivity platforms, Meta Business Suite, Instagram, X, Google Ads, Dropbox, Microsoft Office Suite, Canva, Meta Business Suite, OneDrive
  • Website content management, and ticketing software experience a plus.
  • Strong organizational skills.
  • Strong verbal and written communications skills, and not afraid to pick up the phone and make a call for time-sensitive matters.

  • Post-event reports
  • Gift Shop support ie: processing credit card/cash transactions, generating post event reports; occasionally serving as shop salesperson, handling artist merchandise, as needed.
  • Assisting Box Office and Customer Service Manager and/or Associate in maintaining predesignated amount of money in cash boxes i.e counting before/after events, requesting for change.
  • Familiarize oneself ongoingly with information regarding artist bios and details for upcoming events

EXPERIENCE & SKILLS:
